Job Introduction

Job Title: Office Administrator – Dental Laboratory

Job Purpose:

To carry out effective administration to ensure smooth flow of office procedures through to the laboratory. Supporting the office manager by carrying out office duties. Maintaining a positive and friendly company image by acting as the first line of contact to visitors, customers, online, and predominately via telephone.

Office Administrator Job Duties:

  • Unpacking incoming dental impressions and booking these into our bespoke software package
  • Booking out completed laboratory work on bespoke software package and contacting our customer base for missing information or to adjust completion dates via email and telephone
  • Invoicing customers at end of month
  • Maintaining our recording database and bespoke software customer log
  • Diary management
  • Taking card payments
  • Liaising daily with drivers and couriers as requested
  • Managing incoming correspondence by answering phone calls and emails 
  • Managing reception area and looking after visitors
  • Answering all incoming phone calls and either dealing with enquiries or transferring them as necessary
  • Maintaining stock lists and orders office supplies as needed
  • Interacting with directors and carrying out their requests
  • Assisting the office team Leader with yearly compliance and renewals, maintenance logs, accounts functions, and any other tasks as required 
  • Photocopying and filing appropriate documents as needed

Office Administrator Skills and Qualifications:

Prior Office experience preferred; Strong Attention to Detail; Ability to Work Without Supervision; Excellent Time Management Skills; Exceptional Communication and Customer Service Skills; Proficiency with Microsoft Office Programs; Strong Prioritisation and Organisation Skills; Ability to Handle Confidential Information; Strong Record Keeping Skills; Ability to Multitask.
